2018/2019 has seen a shift in development to focus on a centralized model, where developments
are now compatible across the various custom builds that our client base have, this is a long process, but
beneficial to all clients as it opens up more developments each year to the annual releases, and will
fundamentally provide you, our client, with more function for less cost. We have completed substantial
work on creating a client portal where users are able to log in and request development within a forum,
and to support the ideas of your peers to assist in prioritizing developments. This will provide clarity for all,
as to which developments are considered critical to the whole client base and will drive the development
process forward. Reasoning will be made accessible to all to clarify the priority level applied to each
development. This portal will be opening in the second half of 2019.
The previous 12 months has been a great period of refinement for the Venus and Jupiter products,
with focus on bug fixing and simplification of existing processes. We believe this will provide a platform
that will allow greater scope for development and will pave the way for larger development projects that
will modernize the product; particularly relating to user interface, accessibility and graphical representation of business information.
Single Touch Payroll
Single Touch Payroll (STP) is a major enhancement to last years’ release, simplifying your compulsory reporting to the ATO. With the end of financial year, a new option will be unlocked to allow you to run the final STP report for the year. This should be done as per normal, for your last pay period. You do not need to run the final report twice, but can if required, instead you need only toggle the flag at point of generation to pick up all staff members year to date figures. The resulting file will be large, as such, care
should be taken to prevent duplication of this process. To submit an end of year report you only need tick the option at point of creation, as shown in the image right. If you have already submitted your final report for the year prior to your update being applied, that is okay, you can generate this report even after that submission.
Shiftmatch Integration
The previously titled Cascom integration has been re-written for the new Shiftmatch product, any
clients utilizing the Shiftmatch portal can now integrate Venus with that portal to poll for available roster
requests for processing within Venus, upon finding a suitable match, it will also return the matched roster
to Shiftmatch for final confirmation.
Venus Connect
The Venus connect app is now active and a test environment is accessible upon request, this demo
environment will also allow users to trial Quicksign. This demo environment is accessible to all clients, but
to restrict loading on that server, we reset the password for access monthly. This environment is not
provided as a training environment, but as a demo environment exclusively, as such access will need to be

Quicksign.
Server resets shortened
For those hosted by This Planet, the three shutdown functions overnight have been consolidated to a
single shut down process, shortening the down time by an hour on average. This was done to allow our
clients that operate 24 hours a shorter nightly outage, these outages are required daily to maintain the
health and stability of the hosted environment.
Enhanced Quicksign Functionality
Time sheet approver signatures are now displaying against time sheet reports for both client and
staff,
The timesheet reports for client and staff now have direct email functionality to either the Client or
Staff member.
Breaks will utilize the tolerances set in the Quicksign options menu, and likewise will either update
the roster on not dependent on your settings.
NDIS Rates
NDIS rates have been updated, these update at irregular intervals, so please be aware that we will be
notifying you all as soon as we ourselves are aware of changes. These will usually require down time, as
such we will be inviting NDIS users to schedule times to apply updates when those updated rates are
released.
Tax Tables
Tax Tables have been updated for the 2019/2020 year.
Outlook
Outlook 365 has a custom way of managing accounts, Venus now accommodates for this and you can
utilize the SMTP settings of Outlook 365 to manage your mailing service. This is available to all clients
straight away. You need only change your email settings, first by nominating a default Outlook 365 SMTP
account in “Data Entry > Email Values”, and an individual 365 SMTP Id and password against each staff
members “Email > Email Configuration”.

Quicksign Options:
- Automatic Splitting of Shifts - If a matching split shift type is found in the database, the shift will be
split when it is Quicksigned - Auto Confirm splittable shifts - If a matching split shift type is found in the database the shift will
not be timesheet confirmed when it is Quicksigned - Auto confirm if Kilometres Entered- If the Kms field is filled in on the timesheet, the roster will not
be timesheet confirmed when Quicksigned - Auto Confirm if note to payroll added - If the Note to Payroll field is filled in on the timesheet, the
roster will not be timesheet confirmed when Quicksigned - Show breaks on Quicksign timesheet – Break start and end time fields will not be shown on the
Quicksign timesheet and breaks will be retained / calculated according to Venus
Shifts and Rosters Options
- Quicksign - Adds a column to the Shifts and Rosters screen allowing clients to view Quicksign
timesheets - Show unfilled reason - The unfilled reason is displayed in the status field for unfilled shift requests
- Highlight unfilled shifts - Unfilled shifts are highlighted – The status field has red bolded text

- Show Comments on Checks - The comments column is shown / hidden on the checks page
- Clients choose new shift request visibility - When clients create a new shift request, they have a
check-box to choose if the shift request is visible to nurses through Find Shifts
VOIP
You will be able to click on the primary contact number in the client and staff screens to load the number
into your VOIP platform.
HPV (Health Purchasing Victoria) Report
The HPV Reporting functionality is now available, this function will leverage additional fields in your rate
tables and allowances to assist you in building a rate table specific to the HPV reporting system, which in
turn will feed into the standard HPV report to manage your submissions. You will be able to identify clients that relate to HPV reporting
Bug Fixes
- Substantial adaptations to STP as the ATO settle on new standards and data requirements.
- User email address is now compulsory, as multiple issues were presenting relating to reporting of
email status on a per user basis. - Patient Module, Bulk Creation now highlights issues with mandatory checks prior to roster creation
Bulk creation of rosters, in the patient module shifts screen, from a templated selection will deduct
any variables outside of those in the create screen to delineate between the clone function and the
create function. - Bulk cloning of rosters now includes the cloning of NDIS service codes.
- Over duplication of clones/created rosters has been corrected.
- The sweeping of zero invoices has been refined, to remove the ability to passively set to “invoiced” rosters that have a zero charge rate upon preview.
- General refinements to handling of images to improve compatibility
- Over 100 additional bugs rectified relating to stability, speed of processing and logic.
