Task Manager helps you to manage, allocate and set reminders for tasks. All team members can see who has what tasks scheduled assisting with transparent Hospital, Nurse and Patient management.
Setting up Task Manager
There are three Data Entry > Types that must be set-up prior to using Tasks -
- Task Priority (e.g. High, Medium, Low, etc.)
- Task Category (e.g. Nurse Interviews, Hospital Sales Call etc.) and
- Task Progress (e.g. Not started, in progress, Waiting on Info etc.)
Inserting a Task
To insert a task, right mouse click and select Insert. Record the required information for the task.
Important points
- Assigned – Allocates the task to a team member.
- Task Group – Free text area that can be used for the Nurse, Hospital or Patient name and is included in the search Filters.
- Task Notes – Record a series of notes about the task. Each note will have a time, date and User Name stamp.
- Task Details – An area for detailed information about the task.
Outlook Tasks
To send a Task to Outlook -
- Highlight the Task and select “Outlook Task”.
- An “Outlook Appointment Values” screen display the task details.
- Select OK.
Email Tasks
To email a Task -
- Highlight the Task and select “Email Task”.
- A “New Email” box with the Task ID, summary, due date and create user in the body is displayed.
- Click “To” and select recipients or type in the email address.
- Select “Send”.
Updating a Task
To update a task, highlight the task and overtype the information, as required.
Deleting a Task
To delete a task, highlight the task, right mouse click and select Delete.
Task Reminders
To set a reminder on a Task, highlight the Task and select the Reminder button.
Record or update information as required.
The Reminder will appear in Venus at the recorded time and date.
When a Task has a reminder, a blue asterisk will appear next to the Task.
Task Filters
Tasks can be selected by a range of criteria using the Task Filters option. Select the required filters and the tasks displayed will be updated to reflect the selected criteria.
When task filters are operational, a description of the active Filters will appear next to the Filters button.
Task Sort
The order Tasks are displayed in can be changed with the Sort option.
All Task columns are listed on the left and the active sort criteria is displayed on the right. To move criteria from column to the other, simply grab the data with a left mouse click and drag and drop.
