Hospital Notes

The Notes tab allows you to enter multiple free text notes on each Hospital. Each note can contain up to 5000 characters.

The note type allows you to identify the type of note entered e.g. customer feedback, general, telephone call. Note types are used to group notes with a common theme and are used in the Hospital and Nurse Notes Report.

Hospital notes can be linked to a Nurse by selecting the nurse name. A copy of the Hospital note is also displayed on the Nurse Notes tab.

The note Summary will be displayed on the Hospital Summary tab when the Summary Tab box is ticked.

The Sort Order determines the order the note appears on the Note and Summary tabs.  Sort Order 1 will position the note at the top of the list.

Adding a Note

To add a Hospital Note -

  1. Select Insert on the Notes tab.
  2. Note Type – Select the type of note being recorded.
  3. Sort Order – Determines the order the notes are displayed on the Note and Summary tabs.
  4. Summary Tab -Tick this box for the note summary to be displayed on the Summary tab.
  5. Nurse – Link and display the note against a Nurse, where required.
  6. Patient – Link and display the note against a Patient, where required.
  7. Summary – A summary of the note. This is displayed on the Summary tab if the Summary Tab box is ticked.
  8. Note – Type or paste note.
  9. OK – To save and exit.
  10. Cancel – To exit without saving.

The following fields are created by Venus and cannot be changed –

Timestamp – The date and time the note was originally created.

Create User – The User Name of the user who created the note.

When a note is updated the following fields are updated by Venus –

Last Updated – The date and time the note was last updated.

User – The User Name of the person who last updated the note.

Editing a Note

To edit a Hospital Note -

  1. Highlight the Note to be edited.
  2. Select Edit on the Notes tab.
  3. Change, add to or overtype the note as required.
  4. OK – To save and exit.
  5. Cancel – To exit without saving.

Deleting a Note

To delete a Hospital Note -

  1. Highlight the Note to be deleted.
  2. Select delete.
  3. When deleting a linked note, the note is deleted from both the Nurse and Hospital.

Searching Notes

Venus will search all notes recorded for the Hospital and will display the notes that include the text typed in the Search field. The number of notes that meet the search text, against the total number of notes is also displayed.
